Role Summary
The Accountant / Data Entry Specialist will be responsible for the financial and operational record-keeping, with a primary focus on managing the complete inventory purchasing cycle for both the Cash and Carry and Pharmacy businesses. This role requires exceptional attention to detail, high proficiency in relevant software, and direct experience in a similar retail/pharmaceutical environment.
The Accountant / Data Entry Specialist will be responsible for the financial and operational record-keeping, with a primary focus on managing the complete inventory purchasing cycle for both the Cash and Carry and Pharmacy businesses. This role requires exceptional attention to detail, high proficiency in relevant software, and direct experience in a similar retail/pharmaceutical environment.
Roles and Responsibilities:
Key Responsibilities
1. Inventory & Purchasing Management
Execute and monitor the end-to-end inventory purchasing process, from generating purchase orders (POs) to final receipt and entry.
Negotiate with suppliers and vendors for favorable pricing and terms.
Maintain optimal stock levels to prevent overstocking or stockouts across both business segments.
Verify all incoming inventory against POs and invoices, ensuring accuracy in quantity and pricing.
2. Data Entry & Accounting
Perform accurate and timely data entry of all purchasing invoices, sales receipts, and general financial transactions into the accounting system.
Process and reconcile accounts payable and related vendor statements.
Assist in basic accounting functions, including bank reconciliations and expense recording.
3. Reporting & Software Proficiency
Utilize MS Excel at an expert level to create, maintain, and analyze detailed reports (e.g., inventory aging, cost analysis, sales trends, variance reports).
Maintain high proficiency in the POS (Point of Sale) software for daily transaction review and extracting sales data for analysis.
Ensure data integrity between the physical inventory, POS system, and accounting records.

Required Qualifications and Skills
Education: A Bachelor's degree in Accounting, Finance, or a related field is preferred.
Experience: Minimum 2-3 years of proven experience in a similar accounting or data entry role, with direct and mandatory experience in inventory purchasing for a retail Cash and Carry or Pharmacy setting.
Technical Skills:
MS Excel: Expert proficiency is required (VLOOKUP, Pivot Tables, complex formulas).
POS Software: Strong working knowledge of standard Point of Sale systems.
Familiarity with standard accounting software packages.
Core Competencies: Exceptional attention to detail, accuracy in data handling, strong organizational skills, and effective communication.
